Project Overview:
  • Supports the Client's executive management with its daily administrative duties and functions for the office.
  • Will perform a wide range of administrative and general duties in a highly responsible and fast moving environment.
  • Moreover, he/she must be self-motivated and well-organized flexible with a positive attitude towards challenges and the ability to set and meet deadlines.
 
Responsibilities:
  • Assist in the administration of the executive office; ensure timelines, communications and documentation is coordinated and complete.
  • Prepares a variety of memos, forms, letters, documents and reports.
  • Manage heavy calendar schedules including scheduling meetings and conference rooms
  • Manages hectic, often evolving travel arrangements, with complete and accurate briefing documents
  • Maintain calendar and ensure that complete information is available for all matters, confirming appointments in advance. (Heavy calendar management)
  • Process expense reports and invoices for the executive office.
  • Maintain correspondence and records, follow up on pending correspondence matters with limited direction.
  • Receive office visitors and screen/ direct telephone calls.
  • Make arrangements for meetings and conferences (including purchase of food, supplies or hand-outs).
  • Prepare special reports, gather information, summarize and analyze data.
  • Organize and prepare complex documents requiring the integration of multiple office technology and software applications.
  • Organize and expedite flow of work and initiate follow-up action.
  • Responsible for Executive office budget preparation and on-going tracking of spending and targets.
  • Discreetly handle and manage confidential materials.
  • Support, updating and maintaining department intranet page.
  • Collaborate with administrators of other departments to ensure lines of communication are open.
 
Required Qualifications:
  • Requires a high level of professionalism, tact, integrity and confidentiality.
  • Ability to recognize and protect confidential information.
  • Ability to manage sensitive and confidential information with discretion.
  • Must demonstrate capability to multi-task, prioritize, anticipate needs and be flexible.
  • Excellent interpersonal and communications skills with ability to collaborate with diverse internal and external constituents.
  • Knowledge of Concur, WebEx and SAP strongly preferred.
  • Highly proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook) required.
  • Ability to undertake a variety of assignments and organize time effectively while setting priorities.
  • Ability to perform with speed and accuracy under pressure
  • Ability to establish and maintain databases of information and prepare reports.
  • Thorough knowledge of, or ability to learn, policies and procedures and mission of the organization, and ability to interpret them clearly and accurately.
  • Friendly, cooperative manner and good team spirit.
  • Strong awareness of deadlines, time management skills, and ability to follow up on assigned tasks.
  • Strong written and oral communication skill.
  • Strong proficiency in Microsoft Office programs such as Excel, Word, PowerPoint, Outlook, Access, etc.
