Position Overview:
  • Assist the Project Manager in organizing the ongoing projects and programs.
  • This role involves monitoring project schedules, scheduling meetings, following up on action items, taking meeting minutes, organizing SharePoint sites, and other coordination tasks.
  • The organization is extremely fast-paced and faces constant changes; therefore, flexibility and adaptation will be necessary. It is also important to drive for resultsand open to receiving and giving honest feedback.
  • Ideally, would assist on existing programs, and eventually run small projects with minor oversight.

Responsibilities:
  • Maintaining and monitoring existing project schedules & drafting program status reports.
  • Assisting in project risks assessment and proposing solutions where applicable.
  • Organizing, attending, and participating in project meetings.
  • Facilitating small meetings and distribute minutes to all project team members.
  • Documenting and following up on important actions and decisions from meetings.
  • Preparing necessary presentation materials for meetings.
  • Providing administrative support (e.g. maintaining SharePoint sites, OneNote and distribution lists).
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Willing to run small projects independently with minor oversight, once organizational knowledge and skills are established.


Required Qualifications:
  • A Bachelor's Degree and at least three (3) years of relevant experience is required for consideration.
  • Need to have exceptional attention to details, work on tight deadlines, have excellent communication skills and a can-do attitude.
  • Three years of experiences in project coordination and/or operations.
  • Exceptional verbal, written and presentation skills.
  • Ability to work effectively both independently and as part of a team.
  • Ability to focus on and drive for results.
  • Ability to work on tight deadlines and manage competing priorities.
  • Ability to follow through or communicate when deadline will be missed.
  • Willingness to work with cross-functional groups.
  • Willingness to receiving and providing honest feedback.
  • Competency in Microsoft applications including Word, Excel, Outlook, and OneNote.
  • Knowledge file management, transcription, and other administrative procedures.
