Operations Support Assistant/Specialist

Position Overview:
  • Provide support to Portfolio Managers (U.S. Corporate Banking and all other Staff for all portfolio management related matters)
 
Responsibilities:
  • Monitor financial covenant
    • Requirements include receipt and review of all credit agreements and other documents for financial covenant reporting requirements, maintain tickler systems (TOPS), prepare reports on past due items and other ad hoc reports as requested
    • Upload all required documents to CAL (in-house electronic filing system)
  • Perform portfolio management controls
    • This function includes reviewing credit application and approvals from in-house G-CARS System (Global Credit Application Rating System), review and record into internal database (e.g. Tickler System, Pipeline Reports, PIC changes, etc.)
    • Submit capital market lines instructions to Middle Office via in-house Sharepoint site)
    • Monitor condition(s), reports imposed by credit divisions from G-CARS applications approvals
  • Legal Documentation Management
    • As part of Department control procedures, responsible for prompt follow up and resolution of past due executed legal documents
    • The procedure requires the accurate receipt, control, and coordination of these documents
    • This includes contacting external legal counsel and/or Agent Banks, and providing documents to Credit Control Unit for recordation and storage
  • Electronic Credit Files maintenance
    • Promptly and accurately upload all relevant transaction and customer documents in the in-house electronic credit files in CAL (Credit Application Library)
    • These documents are required for audit purposes
  • Perform general administrative responsibilities, including but not limited to
    • Onboarding of new hires, requesting systems accesses for all staff, expense reimbursement, serve as escalation point-of-contact for PMG Staff
    • Coordinate with Data Assurance Department to update in-house CDL/customer onboarding system
  • Participation in all daily tasks of department, as dictated by workload and staffing levels
 
Qualifications:
  • Must be available to work 9:00 am to 6:00 pm (Monday to Friday)
  • Proficiency in MS Suite (strong excel skills is absolutely necessary)
  • Strong analytical skills
  • Well organized
  • Excellent writing and communication skills & ability to work effectively with minimal supervision
  • Ability to work under high pressure in strict deadline environment
  • Ability to interact and communicate effectively with senior leadership and staff at all levels
  • Experience in Front, Middle or Back Office in the financial industry is a plus
  • Knowledge in Loan Documentation and/or Capital Market (Swap) and FX trading/ is a plus
