Position Overview
  • Provides administrative support to the Head of Corporate Communications and team.
  • Responsibilities include, but are not limited to, general, administrative and/or project-based work.
  • Also requires desire to be part of a dynamic and growing team and playing a broader role to drive the Firm's corporate communications strategy forward.

Responsibilities:
  • Manage meetings, conferences and off-sites, including scheduling, logistics, budgeting and expense processing.
  • Screen and prioritize a large volume of incoming calls, particularly from media, and maintain a professional and courteous manner
  • Coordinate press release distribution process; ensure seamless delivery over client’s Newswire, Firm website, intranet, and other relevant channels.
  • Coordinate weekly email newsletter to all employees; monitor and select relevant coverage as needed.
  • Participate in weekly team meetings to ensure coordination and coverage across Corporate Communications deliverables.
  • Maintain complex and dynamic calendars
  • Prepare and edit meeting materials, presentations, reports, and routine correspondence
  • Arrange complex travel plans and compose detailed itineraries, obtain necessary travel documents and visa coordination
  • Allocate and process expenses for professionals
  • Process and code invoices; identify and implement process improvements
  • Handle contracts, NDAs, SOX process and vendor onboarding
  • Establish, develop, maintain, and update filing system
  • Manage onboarding logistics for new team members
  • Coordinate with other assistants to provide phone and back-up coverage
  • Check and respond to occasional after-hours correspondence

Qualifications:
  • Bachelor's Degree or seven or more years of administrative assistance experience or training, or equivalent combination of education and experience
  • Experience supporting a group of professionals in a corporate environment highly preferred
  • Experience in the finance industry or communications preferred

  • Superb written and verbal communication skills with strong attention to detail
  • Extensive knowledge of Microsoft Outlook, Excel, Word and PowerPoint
  • Working knowledge of office administrative procedures and operating standard office equipment
