Position Overview:
  • The Business Analyst works to help Client achieve these goals by continually improving Client's core IT Portfolio Business Office Processes:
    • IT Planning
    • IT Business Operations
    • Cross-Functional Program Management
    • IT Financial Management, IT Project Portfolio Management
  • IT Project Portfolio Management (PPM) is critical to the success Client. Business Analyst will play a key role in supporting the IT process which support the IT Portfolio, as well as well as help advance Client's IT Effectiveness and Data Capture capability.
  • The Business Analyst shall aid the Portfolio Business Office in the development and execution of IT effectiveness and PPM management processes.
  • This is not a clinical position; candidate will not be working with clinical data or massive datasets requiring scientific analysis. Portfolio Data also does not change often.
 
Responsibilities:
  • Interacting with portfolio managers to understand the pain points
  • Developing and implementing a portfolio management process that will work throughout the department across various functional areas
  • Liaising with others to understand their project and financial processes
  • Coordinating across functional teams in individual process improvement initiatives (e.g. Kaizen, process re-design, process design, root cause analysis, etc.) as applicable
  • Maintaining and refining independently established process and metrics to ensure efficiency (including metric trending etc.)
  • Manipulating IT Financial Data to delivery high impact analysis
  • Assisting stakeholders with the Biogen's IT Processes and Change management communication
  • Generating reports and graphics to illustrate the health, balance and value of the portfolio
  • Determining performance through establishing KPI's/Metrics, visual management, and other tools and techniques to support the site's culture of continuous improvement
  • Project Database Maintenance and Data Quality:
    • Working with teammates to maintain project data by working with Portfolio Stakeholders and Sponsors to ensure accurate information and timely updates
    • When necessary develop plans to revise the data structure and framework to meet changing IT Leadership needs
    • Using established frameworks and analysis to drive continuous improvement techniques to enhance the capability of the database and improve the user experience
  • Project Portfolio Analysis and Reporting:
    • Develop visual aids to ensure transparency of portfolio information including models, dashboards and other reports which enable objective data-driven decision-making
    • Support the Portfolio Business Office in determining the optimal portfolio managers views
    • Develop and track performance metrics to confirm an effective project portfolio management process or identify areas of improvement
  • Portfolio Dashboard Management:
    • Maintain the project portfolio including resource models and KPI's/metrics focusing on visibility to project health, action items, review of new projects, highlight closed projects
    • Work with the team to develop continuous improvement opportunities and support project sponsors and core team leads
  • Training Support:
    • Support Training project manager in the development of training material as well as gathering necessary business process
  • Data and Business Requirement Gathering:
    • Work with the business and technical teams to document existing Business and IT processes and create business and technical process requirements stories and documents
    • Work closely with other IT Stakeholders and PBO team members to document and evaluate core business processes, key governing processes and sub-processes, using quality tools such as MS Visio flow charts
    • Collaborate with stakeholders to conduct business process requirement sessions, and
    • Conduct interviews to understand business need, document business process requirements related to applications, documentation, including work flow analysis Maintain Business, Functional and technical business requirements
 
Qualifications:
  • Portfolio/project management training or certification in PMI methodologies (a plus)
 
Preferred Experience:
  • Experience in qualitative as well as quantitative data gathering
  • Assisted or was instrumental in the successfully delivery of simultaneous large-scale mission-crucial projects on time and on budget and/or prevented problems with timely intervention based on financial modeling on just-in-time visual, useful and actionable data
  • Technical:
    • Power BI (2+ years) - Actively using within 2 years, must provide exhibits
    • Data manipulation, visualization and categorization (3+ years)
    • Advanced excel skills (5+ years)
    • Advanced powerpoint (2+ years)
    • Process modeling (2+ years)
    • Data modeling (2+ years)
  • Minimum 10-12 years of professional experience without a degree
  • Minimum 7 years of professional experience with a degree (Bachelors or Masters)

  • Work with colleague to improve continuous improvement techniques to streamline current PPM processes

  • Strong computer literacy, including word processing, spreadsheet, and flow diagrams
  • Ability to manage numerous priorities simultaneously
  • Open and flexible to shifting priorities to meet required deadlines
  • Provide examples of strong data management skills, dealing with multiple differing stakeholders, dealing with ambiguity based on organizations speed, and working under tight deadlines
 
Preferred Skills:
Familiarity with Portfolio and Project Management principles and practice
Biopharmaceutical or Biotech industry project management
Focused ability to analyze organizational effectiveness along the lines of Structure & Organizational Design, Process Optimization, Performance & Change Management, and Integrated Program Management
