Position Overview:
  • The Business Manager is responsible for the daily financial and administrative operations of client.
  • Budget Management:
    • Serve as Requisitioner, Expense Preparer, Departmental Administrator, Department Financial Manager for Sponsored Projects, and Financial Reporter in OMS (see responsibility outlined in section H).
    • Manage the quarterly budget reconciliation (BAR) process for all funds, working closely with the SFS Finance team.
    • Provide budget forecasting and reports.
    • Execute all financial transactions, including but not limited to ordering supplies, preparing documentation for contracts and reimbursements, and managing/procuring equipment.
    • Manage and reconcile ProCards. Ensure compliance with policies on card use.
    • Track donations and gifts to client.
    • Manage petty cash.
    • Perform other related tasks as appropriate.
  • Grants Administration:
    • Work with Executive Director to identify, apply for, and win external funding.
    • Manage administration of client grants, including budgets, compliance, and reporting.
    • Provide monthly reconciliation of all grant funds, working closely with the SFS Finance team.
  • Program Administration:
    • Serve as Timekeeper in OMS (see responsibilities outlined in section H). Ensure timely payroll administration for client employees.
    • Work with the SFS HR team to ensure that clients recruiting, hiring, training, termination, and payment practices are carried out in accordance with promulgated HR policies and procedures.
    • Prepare supporting documentation for all clients academic appointments for adjuncts, visiting faculty and researchers, working with the SFS Manager of Faculty Affairs.
    • Serve as point of contact for adjuncts, visiting faculty and researchers on office space, technology and classroom needs.
    • Work with the Executive Director in preparing materials for the client advisory board. Serve as primary board contact for administrative matters.
    • In concert with University Advancement, assist Executive Director with program fundraising and relations with potential donors.
    • Ensure maintenance of client offices, program space, and equipment. Coordinate with the SFS Dean's Office regarding capital needs/projects.
    • Serve as the Departmental Technology Representative. Recommend changes to departmental technology and inform staff and faculty about issues as appropriate.
  • Leadership: Team Leader: advises and directs the teams; answers complex questions functioning as an expe1t resource; maintains assignment completion schedules. Performs the same and higher-level tasks.
  • Complexity of Work: Functions differ significantly from each other, or a major function is broad and requires integration of differing complicated bodies of knowledge. Analytical ability is clearly required.
  • Freedom of Action: Little Guidance: Performs complex functions, establishes priorities, resolves issues, rarely refers to supervisor.
  • Practical Experience: 3-5 years of experience in related program administration with budget management experience
