Position Overview:
  • Performs a variety of highly diverse administrative tasks, including but not limited to calendar management, expense reporting, meeting management, office supply management and knowledge management tools.
  • Takes the lead in connecting with members of the team and cross-organizational administrative assistants to achieve designated deliverables, remove barriers and address challenges in a highly empowered, independent fashion.
  • Enables a team of ~200 people by providing administrative support to the executive leadership team with primary focus on supporting the vice president.
  • Responsible for accomplishing highly diverse administrative tasks and activities.
  • May provide work direction to other support staff within the department/function.
  • May organize multiple processes, procedures or programs. Acts as lead on clerical teams.
  • Trains other admins.
  • Demonstrates excellent verbal and written skills to communicate with senior management in appropriate styles with tact and diplomacy internal and externally.
  • Prioritizes activities and takes action based on an understanding of department objectives, customer needs, and Client business strategy.
  • Provides guidance on prioritization to other administrative staff. Considers the impact of own actions on others.
  • Organizes and continuously modifies multiple processes, programs and procedures in response to a changing environment.
  • Anticipates and creates contingency plans to deal with potential challenges and roadblocks.
  • Able to multitask to successfully deliver on a diverse array of tasks. Delegates tasks when necessary.
  • Takes a broad business perspective when making decisions. Involves others in decision making when appropriate.
  • Exhibits excellent judgement in handling confidential information, demonstrates diplomacy in dealing with difficult situations.
  • Acts with professionalism under adverse conditions.
  • Serves as a role model in actively addressing and implementing difficult and sometimes unpopular change.
  • Exhibits a positive work attitude and high productivity. Is able to assess situations with a global business perspective.
  • Anticipates needs of manager and/or team, and takes appropriate steps to produce desired outcome with minimum assistance from supervisor.
  • Takes initiative to investigate, analyze and/or recommend solutions to a broad range of issues.
  • Exhibits a willingness to assist and support others in spite of work demands.
  • Takes accountability for work performed
  • Proactively identifies key office management issues and leads the administrative team to achieve the desired outcome.
  • Forms partnerships with team and other departments anticipating next steps.
  • Keeps team informed. Properly balances priorities and resources and provides guidance to other support staff.
  • College degree preferred
  • High School Diploma with relevant experience accepted
  • Experience/Knowledge: Minimum of 3 years' experience as Executive Assistant or comparable experience
  • 7 years administrative or related experience preferred..
  • Strong written and communication skills
  • Well versed in Microsoft Office Tools (Excel, PowerPoint, etc)
  • Excels at working in a matrix organization.
  • Strong decision making skills
