Responsibilities:
  • Performs a wide range of administrative and general support duties of a highly responsible and confidential nature.
  • Typically supports a high-level manager/executive who directs a major function in the organization and who requires a fully experienced executive secretary. In lieu of supporting a high level manager/executive, this position may be responsible for a specific/specialized function within a department.
  • Requires a high level of tact and integrity due to the great frequency of senior-level internal and external contacts and regular exposure to confidential data.
  • Typically requires extensive experience as an Executive Administrative Assistant or related job in the specific area to understand functions and precedents.
  • Provide administrative support within the Global Supply Organization communicating and/or coordinating the managers/executives instructions with various individuals and/or departments.
  • Frequently communicates on sensitive issues exercising judgment and discretion.
  • Collaborate with and backup support for PGS Admin Team.
  • Organize and maintain managers Calendar, correspondence and records.
    • Schedule appointments and arranges meetings, conferences and travel.
    • Schedule Interviews for area managers. Ensures all appointments are timely and accurately scheduled
    • Demonstrate ability to schedule meetings held both on site and virtually:
      • Understands room setup requirements
      •  Webex technology
  • Foster collaboration by working closely with peers and management.
  • Onboard New Hires/Contractors
  • Focus on key objectives by maintaining individual Training Plan
  • Complete Special Projects as assigned
  • Collaborate in improving work processes, adapts processes in response to changing objectives and actively engages in Administrative Visual Management/Standard Work
  • Supply Room Management to include the 5S and Continuous Improvement Tools
  • Organizational Relationships:
    • Manufacturing/ Operations Technicians and People Leaders
    • Site Technical Services
    • Digital Colleagues

  • Demonstrates proficiency in a wide range of system skills including:

  • Strong problem-solving skills, takes initiative and sensitive to confidential information

Qualifications:
  • Must have 10 years of admin experience, including experience supporting C-level executives.
  • Pharma experience preferred.
