Administrative Assistant and Sales Support Associate

Be part of the Financial Services Industry. Eclaro is looking for a/an Administrative Assistant and Sales Support Associate for our client in Sonoma, CA.

Position Overview:
  • Encompass a mixture of administrative support duties and sales support tasks.
  • Duties are primarily for the client’s department but may include responsibilities in the Enrollment and Billing Department.
  • Essential duties will include interacting with agents and carriers on applications and enrollment issues, communicating status updates to customers, responding to customer inquiries, tracking and documenting progress of applications, commission data entry, general data entry, assisting with communication and marketing materials, mail merges and data import, special projects.
 
Responsibilities:
  • IFP Application Processing:
    • Downloading or receiving electronic and paper applications
    • Reviewing applications and obtaining missing information
    • Submission of applications to carriers
    • Data entry into RH
    • Follow up on status
  • Client Communications:
    • Communicate with clients regarding application status, service issues (when appropriate)
  • Internal Communications:
    • Communicate with agents and Enrollment/Billing staff regarding inquiries, applications, status, etc.
    • Processing leads from Quotit and Client Websites:
    • Reading and responding to email inquiries where appropriate
    • Forwarding leads to agents for follow up
    • Data entry of leads into RH
  • Reconciling Data on IFP policies:
    • Downloading client information on IFP policies from carriers
    • Updating RH with accurate/updated information on addresses, phone numbers, email, policy records, dependents, etc.
    • Updating RH data with Covered CA policy information
  • Messages:
    • Receive, log and distribute messages from Sales and Attendant lines
  • Scanning:
    • Scan and log all IFP applications
    • Scan and log IFP policy communications and other documents
  • Assist Manager with Projects:
    • Data tasks for C.A.R. or IFP
    • RedHorse updates
  • General Office Duties:
    • Mail distribution for P&C Department
    • Put away office supplies
    • Assist with mailings/postage
 
Qualifications:
  • Excellent computer skills: MS Word, Excel and Internet
  • Experience/Skill with MS Access, Goldmine, a plus
  • Strong organizational skills, follow-through, and ability to multi-task
  • Use multi-line telephone system and fax machine
  • Strong interpersonal skills
  • Excellent communication skills, both oral and written
  • Must be attentive to time sensitive duties
  • Requires excellent phone skills, organization and flexibility in moving between tasks.
