Role Responsibilities
  • Conference Communications & Digital/Web Maintenance
  • Manage in boxes for AAI conferences; respond to all inquiries
  • Work with Palisades regarding registration issues
  • Support the preparation of decks for CVENT website launch
  • Updates/corrections to published program content
  • Maintain Diversity Online Communities, including updating content, monitoring discussion posts, reviewing new registrations, and supporting data/usage reporting
  • AAI Conference Committee & Proposal Support
  • Help prepare documents for committee meetings
  • Take notes at meetings that can be forwarded to members
  • Coordinate calendars and share invites for recurring meetings
  • Organize session proposals for review; support development of scoring documents
  • Coordinate review process and log responses in CVENT.
  • Logistics and Professional Services (including payment and travel for AAI conference speakers and committee members)
  • Conduct Zycus entries and follow-up for payments
  • Communicate with vendors for required documents
  • Coordinate with procurement and accounts payable
  • Assist new NAC members to setup accounts in Concur
  • Work with client travel for speaker travel and/or group bookings
  • Coordinate In-house Volunteers for Events and Session Monitoring
  • Help prepare internal communications
  • Slot volunteers as needed
  • Update digital session monitoring survey
  • Report on survey results
  • AAI Data Maintenance and Updates in Salesforce.
  • Assist with AP AAS projects and updating outreach efforts
  • Update records for AAI conferences and program planning committees
  • Strong knowledge of Microsoft programs and office suite, knowledge of database management
  • Experience with data analysis and reporting
  • Interest in working with BIPOC communities
  • Excellent verbal and written communication skills
  • Ability to complete complex tasks on short deadlines and in a fast-past environment
Preferred Skills:
  • Excellent prioritization skills
  • Experience distilling data to inform key decisions
  • Experience creating presentations and reports
  • MC Office proficient
